Things to consider
Pay queries spike predictably — after a pay date, a pay review, or a change to hours — and that is precisely when the payroll team has least capacity. The assistant absorbs the predictable spike.
Never let it calculate or state an individual's pay. Answer policy and process questions only, and route anything requiring someone's actual figures to a person.
Getting pay wrong, or appearing to, damages trust disproportionately. Set a conservative confidence threshold and prefer escalation over a plausible answer.
Experiment starter: Categorise three months of payroll queries and identify which are pure policy questions. Build retrieval for those categories only and measure deflection and re-contact rate.
