The registry of licences and certifications must be complete and current before automating alerts — if the data is incomplete, the alerts will be incomplete.
Define who owns each licence renewal and what the escalation path is if an alert is ignored — the workflow is as important as the alert itself.
This is largely a workflow automation problem (not a generative AI problem). Tools like Zapier, Power Automate, or custom scripting may be faster to value than an LLM-based approach.
The manual effort of building the initial licence registry is often the biggest obstacle — it may take weeks to catalogue everything. Start with one site or one licence category to prove the model before scaling.
Experiment starter: For one site, build a complete spreadsheet of all licences and certifications with expiry dates.
