Business Impact
1

Negligible commercial impact. Saves time at the margins but won't move the needle on revenue or profit.

Feasibility
5

Very easy to implement. Ready-to-use tools exist. Can be up and running in days or weeks with minimal technical resource.

Data Readiness
4

Light data requirements. Uses straightforward inputs — documents, product descriptions, customer records — that are usually accessible with minimal prep.

Risk Exposure
3

Moderate risk. Some customer or external exposure. Errors create rework or reputational impact but are recoverable.

Change Complexity
4

Light people impact. A new tool slots into an existing workflow. Minimal training needed. Most people will adapt quickly.

Things to consider

  • Incident reports may be used in legal or regulatory proceedings — accuracy is paramount. AI drafts; the accountable manager reviews and signs off.

  • A consistent structured template for the AI to populate ensures completeness (who, what, when, where, immediate actions, root cause, corrective actions).

  • Free-text notes from operators vary in quality and detail. Brief the team on what information to capture at the scene to improve the AI's starting material.

  • The quality of the AI draft depends almost entirely on the operator's notes at the scene. Improving note-taking (a structured form or voice memo prompt) is often a better first investment than the AI drafting step itself.

  • Experiment starter: Take 20 recent incident reports and the original operator notes used to write them. Run the notes through an LLM using the standard template. Compare the AI draft against the approved final report and track what the reviewer had to add or correct. If the core facts are captured and less than 20% of content required substantive changes, the tool is viable.
