Things to consider

  • Requires API integration with your order management and carrier tracking systems to retrieve real-time status data. This is the main technical dependency.

  • Escalation logic must be robust: if the order is genuinely lost, delayed beyond a threshold, or involves a complaint, the automation must hand off to a human rather than confidently repeating incorrect status information.

  • Define the response for every failure state (no tracking update, carrier exception, delivered but customer says not received) before going live — customers asking about problem orders are already frustrated.

  • The most significant contact reduction comes from proactive notification — if customers know their order is delayed before they need to ask, they don't contact you. Consider whether this automation should be paired with an outbound proactive comms flow rather than purely reactive.

  • Experiment starter: Tag all 'order status' contacts in your current ticket queue for one month. Count volume, resolution time, and outcome. Then pilot the automated response for that query type only, with a clear escalation path. Compare contact volume, resolution time, and CSAT for that query type in the following month.
